How do I read the Messages screen?
Find individual sends, understand their statuses, and diagnose failures.

Open Messages for one row per send attempt, newest first.
Filter messages
Section titled “Filter messages”- Open the status filter.
- Choose All messages, Sent, or Failed.
- Use the pager to move through the results.
Each row shows the subject, status, recipient, sending mailbox, campaign, and attempt time.
Read a status
Section titled “Read a status”| Status | Meaning |
|---|---|
| Sent | Gmail accepted the message and placed it in the sender’s Sent folder |
| Pending | ColdMerge is still confirming what happened |
| Bounced | A permanent bounce was received for this message |
| Failed | Gmail refused the send, or the outcome could not be confirmed safely |
A Pending attempt is checked against Gmail’s Sent folder. If ColdMerge finds the message, it becomes Sent. If Gmail proves that no message was sent, it becomes Failed and a campaign can retry once.
If ColdMerge still cannot decide safely after 25 hours, the row becomes Failed and that send is not tried again. This avoids sending a duplicate.
Diagnose a failure
Section titled “Diagnose a failure”| Message or cause | What to do |
|---|---|
| Gmail rate or quota refusal | Wait. ColdMerge applies Gmail’s backoff before trying again |
| Mailbox needs reconnecting | Open Settings, then Accounts, and reconnect it |
| Mailbox credential could not refresh | Reconnect the mailbox under Accounts |
| Unsubscribe footer did not survive the message markup | Simplify the end of the message body and try again |
| Interrupted before Gmail accepted it | ColdMerge retries once, then stops rather than risk a duplicate |
| Sent folder cannot confirm the interrupted send | No action. It is marked Failed and is not sent again |
The exact provider reason appears under a failed subject.
Open the message in Gmail
Section titled “Open the message in Gmail”A Sent row has Open in Gmail. Failed and Pending rows do not.
ColdMerge stores the send record but not the message body. Gmail holds the copy you read and reply to.
The same history appears on a contact, limited to that person, and on a campaign, limited to that campaign.
