Set your default sending window

A sending window is the span of working hours a campaign is allowed to send in. Outside it, sending pauses and picks up again when the window next opens.

Sending only during working hours is one of the cheapest things you can do for your results. Mail that arrives at 3am on a Sunday reads as automated to a person and looks like a bot to a spam filter.

Where the default lives

1. Go to Settings.
2. Select Sending defaults. The nav describes it as “Applied to every message unless a campaign overrides them.”
3. Find the Sending window section.

The section heading is followed by your current window in one line, for example 09:00 to 17:00 UTC, Mon, Tue, Wed, Thu, Fri.

Changing it is an Owner and Admin action. A Member sees the window but not the controls, with the line “Ask an Owner or Admin to change it.”

Weekends are off by default because cold outreach on a Saturday both performs badly and reads as automated.

The timezone starts as UTC because nothing on the server knows where you work. This is the one default worth changing straight away. The timezone list offers your own browser’s timezone near the top.

Change the default window

1. Set From and To. These are the hours in the timezone below them.
2. Choose your Timezone. Everything above is read in this zone.
3. Tick the Days you want to send on: Mon, Tue, Wed, Thu, Fri, Sat, Sun.
4. Select Save the window.

Nothing is written while you are typing. The whole window is saved on one press, so a half-typed time is never stored. A Reset button appears next to Save while anything differs from what is stored, and puts the fields back.

When it saves, a message confirms “Sending window saved.”

Rules the form enforces

The note under the fields states both:

Sending pauses when the window closes and resumes at the next opening, in the timezone above. A window cannot run past midnight.

A window that runs past midnight, such as 22:00 to 06:00, is refused. Pick hours that start and end on the same day.

Daylight saving

Your window is stored as a time in a named timezone, not as a fixed offset. When the clocks change, 09:00 stays 09:00 where you are. ColdMerge works out the next opening in your zone rather than by adding 24 hours, so a clock change never pushes a send an hour outside the window you chose.

What changing the default does and does not affect

This is the part worth reading twice.

What it affects

Campaigns you create after saving. Every new campaign copies the default at the moment it is created, and keeps its own copy from then on.

What it does not affect

Campaigns that already exist. This includes campaigns that are sending, paused, scheduled, and even ones still in draft. They already took their copy of the window when they were created.

Anything already scheduled. Changing this default can never reschedule a live campaign. There is no ripple.

Note

If you want to change the window on a campaign that already exists, change it on that campaign, not here. A campaign’s own sending window stays editable for as long as the campaign is running, right up until it finishes or is cancelled.
